Project management meeting notes template

Build a working template for your project or team sync. It carries the agenda, the discussion, the decisions, the actions, and the risks, so the next check-in starts from a clear record instead of memory.

About this template

How the project sync template is put together.

A record the whole team can act on

Project meetings drift when decisions and actions are not written down as they happen. This template separates decisions from actions on purpose: a decision records who made the call and why, and an action records an owner, a due date, and a status.

The header carries the project or team, the facilitator, and the note-taker, so it is clear who owns the record. Confidentiality is left out by default for an internal sync, and you can add it back with one toggle.

Prioritise risks before they become surprises

The risks and blockers section asks who raised each item and who needs to know, which turns a vague worry into something a named person can own.

The open questions and next check-in sections carry the loose ends forward, so nothing is silently dropped between meetings. Toggle the links section on to keep tickets and dashboards beside the notes.
